When should I submit my abstract?

You can submit abstract before the deadline mentioned in conference website. If deadline is over then you can contact respective conference secretary for submission of your abstract.

How do I submit an abstract?

Submit your abstract online using the online submission form either in pdf or word file format. Your abstract must be no more than 600 words.

How many posters can I present at the conference?

The maximum number of posters that can be submitted and presented by one author is 2.

I submitted an abstract, but now I am unable to attend and present it at the conference. Can a co-author/colleague present it on my behalf?

A co-author/colleague may present the material for you, subject to timetabling restrictions where presenters are giving multiple presentations. It is essential that you inform the Conference Secretary of the name of the new presenting author as soon as possible so that the programme can be amended.

I have submitted my abstract and received confirmation of receipt, but I now need to submit a revised abstract. Should I submit the revision as a new submission?

If you wish to revise your abstract in any way please reach your conference secretary before abstract submission deadline.

Minor changes to authors or abstract title can be made after the deadline by emailing conference secretary. No other changes will be accepted.

I am unable to attend the conference. Can I still submit my abstract for publication in the conference abstract book?

If none of the authors is available to present the work on site at the conference, please do not make a submission. Only abstracts to be presented at the conference by a registered delegate will be included in the conference programme and abstract book. We do not allow abstracts to be published in the conference materials without an attending author.

When will I be informed of the outcome of my submission?

oral/poster submissions you will be informed of the outcome within 2 weeks after the submission.

My abstract has been accepted, but I now need to withdraw it. How do I do this?

Please let the conference secretary know as soon as possible through email, in order that we can update the programme.

My abstract has been accepted. When should I register to attend?

To benefit from the discounts available, please register by the early bird deadline. You must register by standard registration in order to be included in the electronic book of abstracts. Registration after this date will result in your abstract being excluded from the book.

My oral abstract has been accepted. Do I need to submit a full paper in advance of the conference?

No. The abstract that you have submitted will be included in the electronic abstract book and will be available to view from the conference website. No full paper is required.

Will conference proceedings be published and will they be available to purchase?

There are no plans to print proceedings of the congress and so these are not available for purchase.

How do I get a letter of invitation?

You can request a letter of invitation during the online registration process. Please note that the letter of invitation will only state that you are invited to attend the congress. We cannot include information about your passport or any other unverifiable data.

A letter of invitation will only be provided once you have registered for the conference and your payment has cleared. The letter will be sent by email as a pdf document only.

Will my badge and delegate pack be sent in advance?

You will not receive your badge or delegate pack in advance but will be able to collect these from the registration desk on site.

Will I receive a full list of participants including their mailing addresses? We are not providing a participants list for the congress.

Will the abstracts be available to download from the website?

The abstracts will not be available to download from our website but an interactive programme will be available where all abstracts can be viewed. All delegates will receive the abstracts on a USB stick/flash drive onsite at the congress.

I can't attend but would like the final programme and abstract book. Can I purchase them?

Unfortunately the final programme and abstract book are only available to those who have paid to attend the congress. Conference materials will not be on sale separately.

Can I bring my children and are there any crèche facilities?

You may bring children to the congress, however they may not attend any of the scientific sessions and must be accompanied by an adult at all times. Babies and infants can stay with parents/guardians during the scientific sessions. There are no childcare facilities on site.

Will there be a chance for delegates to network?

Delegates will be able to network at all the session breaks, poster sessions and social events.

I am a speaker; what format should my oral presentation be in?

Presentation laptops will be provided by us in each room. Each laptop runs Windows 10 and is supplied with Microsoft Office 365.

When should I load up my presentation on site?

Presentations should be uploaded a minimum of 30 minutes before start of the session. Please load your presentation

from your memory stick/USB/Flash drive on to the laptop provided for presentations.

Can I give my presentation from my own laptop?

All presentations must be uploaded in advance so it will not be possible to use your own laptop.

My poster abstract has been accepted. Do I need to send my poster in advance?

No, please do not send your poster in advance as the conference staff are unable to transport it for you. Please bring it with you to the conference where hanging materials will be provided.

Can we get a discount for a group registration?

Group registration is available for this congress. You can contact your conference secretary for discount.

What is included in my registration fee?

  • Congress material, attendance to the Conference and Exhibition
  • Opening and Closing Ceremonies
  • Welcome Reception
  • Refreshment breaks and lunches during the Congress

Do I have to register in advance or can I register on site?

It is advisable to register in advance to secure your place at the conference. However, you will be able to register on site, subject to availability. Registration on site must be paid by cash in USD.

Will I automatically get a receipt for my registration fee?

If paying by credit/debit card you will receive a confirmation email from payment gateway as well as from our system. If you require a formal receipt please contact the Conference Secretary.

I have registered but I notice that my invoice is not for the correct amount. What should I do?

Please contact the Conference Secretary immediately by emailing, informing them of the error so that it can be rectified straight away.
